HomeMy WebLinkAboutResolution No. 097-24 - Resolution - Use of Reserve Funds for Preservation of Rochester Fire Department Legacy Data RESOLUTION Authorizing the Use of Capital Improvement Project Reserve Funds Related to the Purchase and Implementation of Tyler Technologies Data Archive Solution for Preservation of Rochester Fire Department Legacy Data. WHEREAS, the Rochester Fire Department (RFD) has nearly completed its transition to a new records management solution (RMS) with the last remaining piece being the management of its legacy incident data; and WHEREAS, it is vital for the RFD to ensure the careful transition, timely retrieval, and storage of its historical incident data; and WHEREAS, Minnesota statutes prescribe varying retention requirements based upon incident type as well as incident details; and WHEREAS, the risks associated with improper data migration due to differing forms and formats over decades' worth of data carry significant implications; and WHEREAS, RFD currently maintains a Capital Improvement Project for Fire Records Software of $20,000 annually with a reserve balance of $100,000; and WHEREAS, a solution exists to maintain the legacy information and associated attachments in their current form, through a searchable web-based database via our original records vendor; and WHEREAS, the first year implementation costs are $36,625. NOW, THEREFORE, BE IT RESOLVED, by the Common Council of the City of Rochester authorizes the expenditure of $16,625 of capital improvement project reserve funds related to the purchase and implementation of Tyler Technologies Data Archive Solution.
